Select Addresses from Existing Lists


This option allows you to select groups of recipients from existing lists in the organization.  The available lists include the organization roster, any E-Lists or Group Lists that have been established, and positions in the organization.

To select from available lists:

  1. If the options page is not displayed, click the Add Email Addresses button on the Email page.
    The Address the Message options page will be displayed.

  2. Click the Select Address Lists from Member Rosters, E-List/Groups and Position link at the top of the page.
    The Address Book page will be displayed.  The available lists are displayed in the Available Lists box.  These are a combination of E-lists, Groups, organization roster and positions.
    If an Address List has already been started, you will see the existing list at the top of the page.

  3. If you need to change the organization, choose one from the drop-down list below the Available Lists heading.

  4. Choose a list from the Available Lists box.

  5. Click the Add Selection to Address Lists button at the bottom of the page.
    The system will add the list to the Address List for the email and will display it at the top of the page.

  6. Repeat steps #3 through 5 for each group or position that you want to add to the address list.

  7. If you want to view the name and address of each member of the group(s) selected, click the View Email Addresses link.

  8. If you want to define a filter for your Address List, click here for those instructions.

  9. If you need to remove a group from the Address List for the email, click the Delete link next to the group name.
    The system will delete that group and will redisplay the page.

  10. When you are through building the address list, click the Done button to return to the Email page.
    The Address List will be displayed at the top of the Email page.

  11. If you need to view the address list or define a filter, you can do so from this page as well.

  12. You can also delete a group from the Address List from the Email page by clicking the Delete link next to the group name.

  13. If you need to add more groups to the Address List, click the Add Email Addresses button and return to step #2.
