Assign Instructors
This function allows you to assign instructors to classes only. The instructor must be on the roster list in order to be assigned. If you use this link at the session level, you will have the option of assigning instructors for all occurrences of the class or just the one you selected. If you use this link at the sub-program level, the system will assume that the same instructor will be used for all occurrences of the class.
To assign instructors:
If the Program and Event Administration menu page is displayed, skip to step #4.
Click the Features Link at the top of the
current page.
The Main Information page should be displayed.
Click the Manage Events link in the Administer
List Sidebar menu on the Main Information page.
The Program and Event Administration menu page will be displayed.
If you need to change organizations at this point, choose the organization from the Select an organization drop-down list at the top of the page.
Click the Manage Program link in the Programs
column of the menu page.
The Manage Programs page will be displayed. The page will display a list of
programs in alphabetical order, their effective and end dates, the status of
the program and a Manage action link.
If the program is not listed on the current page, use
the Navigation links at the top of the list to select the first letter of
the program.
The system will scroll the page to the list of programs starting with the
letter you selected. You can also use the vertical scroll bar to find the
program.
Click the Manage link for the program that you want to
manage.
The Manage Program page will be displayed with all the details for the
selected program.
If you need to expand session events, click the plus
icon to list all details for the session.
You can use the minus icon to collapse a session or sub-program structure.
Click the Assign Instructor link for the class.
If you selected the link in one of the sessions, the Assign Instructors
options page will be displayed so that you can determine if you want just
this class occurrence or all occurrences of the class updated.
If you selected the link at the sub-program level, the Class Instructor
Assignment page will be displayed so that you can assign the instructor(s)
for all occurrences of the class and you should skip to step #13.
If you want all occurrences of the class to be updated, click the Edit all occurrences and shared attributes radio button.
If you want just this one occurrence of the class to be updated, click the Edit this occurrence only radio button.
Click the OK button at the bottom of the page.
The Class Instructor Assignment page will be displayed.
The page contains two list boxes - Available members for assignment
and Selected members assigned to the class. The Available list is
the member roster list of all possible instructors and the Selected list is
the members that you have chosen as instructors for the class. The first
time you enter this page for a class, the Selected list will have None
Available.
The Available list has a navigation menu at the top so that you can choose
the first letter of the member/instructor's last name to narrow the list
from which to choose. The Add and Remove buttons are used to
add names to, and remove names from, the Selected list. Once a name has
been added to the Selected list, the name is no longer available in the
Available list.
Use the navigation menu at the top of the Available list to find the name(s) you want to select.
Select the name from the Available list.
The name should be highlighted.
Click the Add button to move the name to the Selected list.
Repeat steps #13 through 15 for each instructor that you want to add to the Selected list.
If you need to remove a name from the Selected list,
select the name and click the Remove button.
The name will be removed from the Selected list and made available again in
the Available list.
When you have completed managing the class instructors,
click the Done button at the bottom of the page.
The Manage Program page will be displayed.
