View and Export Registrations


The View and Export Registrations function provides all registration, registrant and, if applicable, form information to be viewed and exported for one or more selected events.

The function allows you to search for registrations by date ranges, determine how many rows to display per page, and choose the data to display.  You can also export the registration list to an Excel Worksheet to be stored on your hard drive.

You can alternatively request that Doubleknot export the registrations for a selected event and have an Excel file emailed to you - see Email Me Exported Registrations.

To view and export registrations:

  1. If the Main Information page is not displayed, click the Features List link at the top of the current page.

  2. Click the Manage Events command in the Administer list,
    The Program and Event Administration page will be displayed. 

  3. Select the organization from the Select an Organization drop-down list at the top of the page.
    This is only relevant if you are a member and responsible for more than one organization.

  4. Click the appropriate link (the type of event) in the Manage Registrations column.
    The Manage page will be displayed.  The page displays a list of existing events in the left portion of the page (Event List) and a list of functions that can be performed on the right portion of the page (Functions).

  5. If you want to resort the existing events list, choose the sort criteria from the sort Event List by radio buttons.
    You can sort the list by event date (descending date order) or by event description (alphabetic by title).
    The page will be automatically refreshed when you click a radio button.

  6. If you want to show only past events, click the Past radio button in the Show Event line. 
    If you want to show current and future events, leave the Current and Future radio button selected.
    The page will be automatically refreshed when you click a radio button.

  7. Select the event(s) from the Event List.
    You can select multiple events from the list.  Use the Shift key to select contiguous and the Ctrl key for non-contiguous items.  The selected event(s) should be highlighted. 

  8. Click the View and Export Registrations radio button in the Functions list and click the OK button at the bottom of the page.
    The Manage & Export Registrations page will be displayed.  The page will display the registration details for all events selected.  The default data is the registration information, members and guests.  You have the option of searching for registrations in other date ranges.

  9. If you want to search for registrations in another date range, enter the starting date in the Show from text box and the ending date in the To text box.
    You can use the Pop-up Calendar function rather than entering the dates.

  10. If you want to view the forms information for the events, click the checkboxes for Show Required Forms and/or Show Optional Forms at the top of the page.
    A checkmark in a checkbox indicates that the option is turned on.  The page will be refreshed with the forms information.

  11. If you to change the default options for Show Registration Information, Show Members, or Show Guests, click the appropriate checkbox(s) to turn it off.
    A blank checkbox indicates that the option is turned off.
    The Show Guests checkbox may not be displayed.

  12. If you want to display more than 10 rows per page, choose the number of rows from the Rows to display per page drop-down list at the top of the page.

  13. Click the Go button to refresh the page after changing the dates or the options.
    The system will refresh the page and will display registrations for the new selections.

  14. Use the navigation buttons at the top of the list to navigate through multiple pages of registration information:
                Use the First button to display the first page of information
                Use the Prev button to display the previous page of information
                Use the Next button to display the next page, and
                Use the Last button to display the last page of information.

  15. If you want to export the list to an Excel Worksheet, click the Download Data as File link and click here for those instructions. 
    Return to these instructions when you are through.

  16. If you do not want to edit forms data, click the Done button to return to the Manage Events page and you are through with these instructions.

  17. Click the Switch to Edit Mode button at the bottom of the page.
    The page will be switched to edit mode for forms data only.  You may have to click the Show Forms checkboxes again and click the Go button to redisplay the forms data.

    The forms data will have an Edit link displayed in the columns for each forms field.

  18. Click the Edit link in the field that you want to edit.
    The Form Field page will be displayed.

  19. Click inside the Form Field text box and change the data.

  20. Click the Update button to update the field.
    The system will display a message box asking you to verify that you want to change the data.

  21. Click the OK button to continue the update.
    The Form Field page will be refreshed and will display the changed information.  The change history record will be displayed at the bottom of the page.

  22. Click the Go Back button at the bottom of the page.
    The Manage & Export Registrations page will be displayed.  The updated forms data will be displayed.

  23. When you are through working with the function, click the Done button.
    The Manage Events page will be displayed.
