Import Non-Registered User to User Group


This function allows you to import a file of non-registered users to be added to the User Group or E-list.  Files to be uploaded must be either TXT type files (tab delineated files with .txt extensions) or CSV type files (comma delineated files with .csv extensions).

To import non-registered user to a group:

  1. If the Administer Members and Users page is not displayed,
    click the Features List link at the top of the current page to display the Main Information page, and then
    click the Member Information link in the Administer List on the sidebar menu.
    The Administer Members and Users page will be displayed. 

  2. If you need to change the organization at this point, select it from the Select an Organization drop-down list at the top of the page.

  3. Click the User Groups and Elists radio button in the View area.

  4. Click the Submit button at the bottom of the page.
    The Manage User Groups page will be displayed.  The page displays two lists - a Roster list of members and a Group Members list containing those members that have been assigned to the group.  The example below shows a group that has no assigned members yet.

  5. If the group that you want to work on is not displayed, choose the group from the Select a Group drop-down list at the top of the page.

  6. Click the Assign, Create, Import non-registered members radio button above the roster and Group Members lists.
    The Manage Non-Member User Groups page will be displayed with the non-registered member input fields and available functions.  The input fields are on the left portion of the page and the Group Members list for non-registered users is displayed on the right.

  7. If you need to see the detailed group member list, click the Detailed Member List button and click the link to refer to those instructions in this guide.

  8. Click the Import non-Registered Group Members button at the bottom of the page.
    The Import Group Members page will be displayed.

  9. If there is a header row in the file and you want the system to skip it, click the Skip First Row checkbox at the top of the page.
    This will cause the system to ignore the first record of the file.

  10. If the fields in the records are separated by a comma, click the Comma radio button.  Otherwise leave the Tab radio button selected.

  11. If you know the name and full path of the file, enter it in the Enter Filename text box and skip to Step #15.

  12. Click the Browse button next to the text box.
    The Choose File dialog box will be displayed.

  13. Navigate to the folder in which the file is stored and select the file name.
    The file name should be displayed I the File Name drop-down list on the dialog box.

  14. Click the Open button.
    The dialog box will close and the file and path information will be retrieved and displayed in the Enter Filename text box on the page.

  15. Click the Upload File button.
    The system will retrieve the file and display the first few records on the Group Import File Analysis page.  Drop-down lists are made available for each field so that you can identify the data in the field.

  16. Select the type of information for each column (field in the record).  If the field should be skipped, leave the Skip Column item selected for that field.

  17. Click the Continue button at the bottom of the page.
    The system will begin the import process based on the field identification you selected.  This process may take some time depending on the size of the file.  When the import is complete, the system will display the Records Imported page indicating the records that were imported and any problems encountered with the process.

  18. If there was a problem with the import, the errors will be displayed on this page.  You can print the page to retain the error listing.
    Email addresses in bold type on this page indicate that the address format is incorrect.
    Rows that are highlighted indicate that the email address matched a registered member and that member was added instead of the non-registered user.

  19. When you are through with the Records Imported page, click the Finish button.
    The Manage Non-Members User Groups page will be displayed.  The successfully imported users will be displayed in the Group Members list.

  20. If you are through managing non-Member user groups, click the Done button at the bottom of the page.
    The Administer Members and Users page will be displayed.

  21. If you are through with the Administer Members and Users page, you can click the Done button or the Feature List link to return to the Main Information page.
